Responsibilities:
- Daily management of the office
- Greet and assist visitors, clients, and employees in a professional and friendly manner
- Perform data entry tasks
- Provide excellent customer service by answering phone calls, responding to emails, and addressing inquiries or concerns
- Assist with clerical duties such as filing, photocopying, and organizing documents
- Schedule appointments and manage calendars for executives or team members
- Maintain office supplies inventory and place orders when necessary
- Assist with accounts receivable collections
- Oversee the operations department
- Write operational documents
- Establish relationships with potential clients
- Assess management and operational procedures for potential improvement
- Other project management tasks assigned
- Contact applicants to schedule interviews
Qualifications:
- Critical thinking is a MUST
- Previous experience in a similar role as an administrative assistant or receptionist is preferred
- Proficient in typing and data entry with strong attention to detail
- Excellent communication skills, both written and verbal
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Proficient in using Microsoft Office Suite (Word, Excel, Outlook)
- Ability to handle confidential information with discretion
- Ability to work alone
- Bilingual (English and Spanish) not required but preferred
