We are seeking a friendly and organized Medical Receptionist to join our healthcare team. The ideal candidate will provide exceptional customer service to patients, ensure smooth front-office operations, and assist with administrative tasks in a medical setting. As the first point of contact for patients, the Medical Receptionist plays a critical role in creating a positive experience for visitors while maintaining the efficiency of daily operations.
Key Responsibilities:
Patient Reception and Communication:
Greet patients and visitors with a friendly, professional demeanor.
Answer phone calls, schedule appointments, and manage patient inquiries.
Confirm appointments and provide reminders to patients via phone or email.
Appointment Scheduling:
Manage appointment schedules for physicians, nurses, or specialists.
Reschedule or cancel appointments as needed, ensuring proper documentation.
Coordinate referrals to specialists and follow up on patient appointments as required.
Medical Records and Documentation:
Ensure accurate and up-to-date patient information is entered into the electronic health record (EHR) system.
Collect and verify patient insurance information and update records as needed.
Process patient forms, authorization requests , and insurance paperwork.
Billing and Insurance:
Verify patient insurance details and assist with insurance-related inquiries.
Collect copayments, co-insurance, and other payments as needed.
Ensure billing information is accurate and provide support for medical billing inquiries.
Office Management:
Ensure that the reception area is tidy, well-organized, and welcoming.
Handle incoming and outgoing mail, packages, and faxes.
Assist with medical inventory and office supplies management.
Collaboration and Teamwork:
Work closely with medical professionals and other administrative staff to ensure effective office operations.
Assist with patient flow and ensure timely check-ins and check-outs.
Maintain confidentiality of patient records and adhere to HIPAA compliance.
Qualifications:
High school diploma or equivalent; additional training in medical administration or a related field is a plus.
Previous experience as a receptionist, medical assistant, or in a healthcare setting is preferred.
Strong communication and interpersonal skills with a focus on customer service.
Proficient in using office equipment (e.g., phones, fax, copier) and basic computer software (e.g., Microsoft Office, EHR systems).
Detail-oriented with strong organizational skills and the ability to multitask effectively.
Knowledge of medical terminology and insurance processes is a plus.
Ability to work in a fast-paced environment and handle confidential information with discretion.
Working Conditions:
Full-time position; hours may vary depending on office needs.
Monday- Friday from 8am-5pm
