We are seeking a reliable and organized Administrative Assistant who enjoys helping others and keeping an office running smoothly. This role supports both our staff and clients through scheduling, document management, and day-to-day office coordination.
This position is ideal for someone who is dependable, detail-oriented, and comfortable in a professional office environment.
Key Responsibilities
Administrative Support
Answer and direct incoming phone calls
Greet clients and visitors professionally
Manage calendars and schedule appointments
Coordinate meetings and conference calls
Client & Document Management
Scan, organize, and maintain electronic client files
Assist with assembling tax returns and financial reports
Track incoming and outgoing client documents
Send engagement letters and client correspondence
Office Coordination
Order office supplies and maintain office organization
Assist staff with administrative needs
Support workflow tracking during tax season
Maintain strict confidentiality of client information
Technology Tasks
Basic data entry
Work with Microsoft Office (Word, Excel, Outlook)
Use document management and practice management software
Ideal Candidate
Qualifications
2+ years of administrative or office assistant experience preferred
Professional phone and communication skills
Strong organizational and time management abilities
Ability to multitask in a fast-paced office environment
Comfortable using computers and office software
Experience in an accounting or CPA firm is a plus, but not required
