Behavioral Neurodiversity Specialists (BNS) is seeking a full-time Administrative & Operations Assistant to support the daily operations of our growing ABA and behavioral health practice in Brickell.
We are looking for a highly organized, professional, and detail-oriented individual who can help coordinate communication, client intake, scheduling, staff onboarding, and ongoing administrative operations.
This role is ideal for someone who takes initiative, follows through on responsibilities, and is comfortable keeping track of multiple moving parts in a fast-paced healthcare environment. The ideal candidate communicates professionally, works independently, and takes pride in producing accurate, organized work.
-Location: Brickell, Miami
-Parking available and walking distance to the Metromover
-Schedule: Monday–Friday, 9:00 AM–4:00 PM
30-minute unpaid lunch break
Approximately 32.5 hours per week
-Compensation: $22/hour starting pay based on experience
Responsibilities:
-Serve as a professional point of contact for prospective and current families
-Answer incoming phone calls, emails, text messages, and general inquiries
-Assist families throughout the intake and onboarding process
-Maintain client intake pipelines and track onboarding progress, pending documentation, and follow-up items
-Coordinate communication and scheduling between families, RBTs, BCBAs, and other clinical staff
-Coordinate assessments, appointments, meetings, and staff schedules
-Maintain accurate electronic records, client files, and administrative documentation
-Follow up on missing documents, authorizations, referrals, and pending action items
-Communicate professionally with insurance companies, healthcare providers, schools, and community partners
-Assist with candidate coordination, staff onboarding, and training-related administrative tasks
-Maintain employee and administrative records
-Monitor deadlines and help ensure administrative tasks are completed accurately and on time
-Support community outreach initiatives, events, and referral-related administrative activities
-Assist with daily office operations and special administrative projects
-Collaborate with leadership to improve workflows, systems, and operational efficiency
Qualifications:
-Previous administrative, operations, care coordination, or office experience required
-Experience in ABA, behavioral health, therapy, pediatric healthcare, or a medical office strongly preferred
-Excellent written and verbal communication skills
-Strong attention to detail and accuracy in documentation
-Excellent organizational and multitasking abilities
-Professional phone and email etiquette
-Ability to work independently and manage multiple priorities
-Strong follow-through and ability to track pending tasks through completion
-Proficiency with Microsoft Office, Google Workspace, and computer-based systems
-Ability to learn new software platforms and administrative processes quickly
-Bilingual English/Spanish required
