We are seeking a detail-oriented and organized Administrative Assistant to support an unclaimed property recovery office. This position will assist with preparing claim documents, organizing client files, uploading documents to government portals, tracking claim status, and communicating with claimants as needed. The ideal candidate must be reliable, accurate, comfortable working with confidential information, and able to follow step-by-step procedures carefully. This position will be around 25 hours per week, but may increase over time, depending on candidates availability.
Key Responsibilities
- Prepare, review, and organize documents required for unclaimed property claims.
- Upload claim forms, identification documents, agreements, powers of attorney, and supporting records to the appropriate online portals.
- Maintain accurate electronic and physical claim files.
- Track claim deadlines, requests for information, missing documents, and follow-up dates.
- Assist with preparing cover letters, forms, and correspondence to government agencies and claimants.
- Communicate with clients to request documents, confirm information, and provide general claim status updates.
- Scan, save, label, and organize documents according to office procedures.
- Review documents for completeness, signatures, dates, and consistency before submission.
- Maintain confidentiality of client personal information, financial information, and claim records.
- Assist with data entry, spreadsheets, mailing, filing, and general office administration.
- Notify management of any missing information, discrepancies, or urgent deadlines.
- Perform other administrative duties as assigned.
Required Qualifications
- Prior administrative, clerical, legal assistant, claims, or document-processing experience preferred.
- Strong attention to detail and accuracy.
- Ability to handle confidential and sensitive information.
- Good written and verbal communication skills.
- Comfortable using computers, email, PDF files, scanners, and online portals.
- Proficiency with Microsoft Word, Excel, Outlook, Google Drive, or similar tools.
- Ability to follow instructions and work independently after training.
- Strong organizational and time-management skills.
- Bilingual English/Spanish preferred but not required.
Preferred Skills
- Experience with legal documents, government forms, claims processing, financial documents, or client intake.
- Ability to manage multiple files and deadlines at the same time.
Work Environment
This position involves office and computer-based work, including document preparation, online uploads, email communication, scanning, and file management. The role requires accuracy, discretion, and the ability to work with sensitive personal and financial documents.
